
Episode #7: Procedures Aren't Barriers - They're Blessings in Ministry
In ministry, it's easy to view procedures as red tape—something that slows down the “real work.” But what if we flipped the script? What if we stopped seeing procedures as barriers, but rather as blessings?

A Crisis That Shifted My Perspective
During one Sunday service, a volunteer ran out in a panic—there had been an emergency in a classroom. I braced myself, expecting a child to be hurt. Instead, I walked in to find an adult volunteer slumped on the floor. His wife, also a classroom leader, was panicking. The kids were confused. I had to call 911, get 12 preschoolers out of the room, direct security, and calm the scene—all at once.
There was no clear plan. No designated roles. Just chaos. And that experience changed how I thought about procedures. It launched me into action to create a plan that made sense for future emergencies.
Procedures Aren’t Rules—They’re Relief
Good systems don’t just keep us organized. They’re crucial to ensure everyone know exactly what to do. Procedures:
Provide clarity in the chaos
Reduce panic during emergencies
Eliminate confusion about who does what
Your procedures should empower your leaders to respond, not react. When they know what’s expected, they’re not overwhelmed. They’re prepared. That’s leadership multiplication—and it’s a powerful form of discipleship.
Designed with Purpose, Not Just Policy
It’s not about stacking up a bunch of rigid rules. It’s about building systems with intention. Every policy should answer these questions:
What is the actual goal?
Who does this protect or serve?
Is it accomplishing what we need it to?
If it’s just a hoop to jump through, it needs to go. But if it protects your volunteers, families, or kids—it matters. That’s why we set them up in the first place. I encourage you to take some time to consider what procedures you have (or don’t have) in place, and if they’re accomplishing the purposes you desire.
What Happens When Procedures Are Missing?
Without clear systems, you’ll face:
Accidents and miscommunication
Confusion about roles and expectations
Burnout from decision fatigue
Finger-pointing when things go wrong
Procedures give your team a framework for calm, confident leadership—even in a fire drill (which, yes, I’ve also experienced!). When there’s a plan, leaders don’t panic. They lead.
Procedures Are About People
At the end of the day, procedures protect what matters most: people. Your volunteers, your families, and your kids deserve systems that keep them safe and supported.
